ALA Publishing is seeking a senior administrative assistant for ALA Editions, the book publishing team at the American Library Association.

The senior administrative assistant will be a key member of a dynamic publishing team that creates books for the professional library field.

Reporting to the publisher of ALA Editions, the senior administrative assistant will support the publisher and unit staff and be responsible for these key functions among others:

  • Serves as primary contact point for internal and external inquiries relating to the ALA Editions unit
  • Maintains process and management performance reports
  • Coordinates inter-unit procedures on behalf of the publisher
  • Acts as liaison to other key units such as accounting and ITTS
  • Organizes and maintains digital and paper files
  • Provides meeting preparation support
  • Processes contracts
  • Assists with author and other external correspondence
  • Assists with monitoring various projects
  • Assists with inputs to the marketing, editorial, and production data in the publishing database
  • Provides copying support
  • Orders and maintains office supplies for the unit

    Starting salary range is negotiable from the mid-30s; based on experience and qualifications. ALA has an excellent benefit package that includes medical, dental, generous paid vacation and a retirement annuity

    Proficient knowledge of word processing and spreadsheet software and a familiarity with database applications. Independent worker with organizational skills and ability to prioritize duties in a high-volume, copy-deadline atmosphere. Detail oriented with accuracy and attention to detail. Ability to learn assigned tasks readily and adhere to prescribed procedures and performance standards. Ability to make decisions. Ability to work effectively with others. Sound command of written English; comfortable communicating in an academic environment.

    Education: Minimum high school diploma; associates degree or higher preferred.

    Experience: Min three years' experience in administrative assistant role in a similar environment. Publishing background highly recommended but not essential.
